At yesterday's 4-H History leadership team meeting, Gary Deverman reported on the current status of 4-H history fund raising. He plans on having a resource development meeting of the National 4-H History Funding team sometime within the next two weeks. Two or three major solicitations are almost ready to go.

Sue Benedetti, chair of the National 4-H History Preservation leadership team, announced at the August leadership team meeting the resignation of Gary Deverman from the leadership team and as chair of the National 4-H History Funding development team.

After Sue Bendetti "jumped the gun" in announcing a campaign to have donated money earmarked for the 4-H calendar art program, a move that did not go through the National 4-H History Funding team, the team decided to create a listing of other established area for potential donors in the future to earmark as to how they want their funds used.

An initial listing of 27 such areas… basically the same 27 areas agreed upon by the entire leadership team four years ago and being displayed on the history website, were written up, along with a standard intro to be used with each area, the amount of dollars needed and the percentage of this figure received for that particular project to date. This listing was sent to the editor of the history newsletter with copy for the August newsletter, along with copies to all members of the 4-H history leadership team. The listing was also handed out as hard copy at both the July and the August leadership team meetings. It was determined by the leadership team chair that this listing should be fully discussed at the September leadership meeting.

The June National 4-H History Preservation electronic newsletter carried an appeal letter for giving funds to the History Project. The letter, originally written by Gary Deverman, was edited and rewritten by Eleanor Wilson and Sue Benedetti, and later rewritten again by Kendra Wells.

As one segment of the fund raising approach to selected audiences, Larry Krug sent an electronic letter out to 100 farm broadcasters and retired farm broadcasters telling them about the new segment on the history website about the early days of 4-H and Radio, alerting them to the needs we have in finding old 4-H films and other audio/visuals, and asking for donations.

Several have already responded with helpful information on our quest for seeking materials and are looking through their files to assist us. It is yet to be determined whether or not we receive any contributions from this effort.

Gary Deverman sent the 4-H History Case Statement and other materials out to the 4-H History leadership team for review and comment.

At the Feb. 4 history preservation leadership team meeting on Feb. 4, Gary Deverman reviewed the listing of 16 key groups to approach for assistance with 4-H history documentation and fund raising. Out of these 16, nine were targeted as "first priority." These included: Report to the Nation Teams, NAE4-HA Hall of Fame laurets, Epsilon Sigma Phi members, Retirees--4-H and NIFA/USDA, State 4-H Staff Retires, Past Donor Representatives, National 4-H Interns and Past PA's, 4-H History Preservation Newsletter list and Farm Broadcasters (members of NAFB).

The January contributions were also discussed and the significance of the "gifts in honor of…" program. Eleanor Wilson was also given the names/contact addresses for several people who should receive thank-you notes.

Meeting Minutes - January 9, 2014 Meeting of 4-H History Preservation Resource Development Group.

The meeting began at 10 a.m. Participants: Larry Krug, Tom Tate and Gary Deverman.

1. Review our list of links for RD Group members and other volunteers to strategis and key prospects. A major portion of the meeting was focused on reviewing the "reaching key groups sheet."

2. Select the "Top Ten" moves for first quarter of 2014 - "Low hanging fruit" prospcts by source. The top 10 moves were discussed with nin recommended for finaoization at the full meeting on January 22nd. Tom Tate will be participating in two key meetings that should be helpful in advancing the resource development ffort.

3. Determine the fundraising strategy for each. This will be discussed by Larry and Tom with the full History Team at the January 22nd meeting.

4. Define the Action Steps and Timeline for the first Quarter.

Full committee to:
1. Finalize top 10 moves on Reaching Other Groups Sheet.
2. Determine responsible leadership for each move (two assignments per member).
3. Determine support materials needed by responsible leadership - Review Brief Case Statement and other samples for possible edits.

Following are the meeting minutes from the 4-H History Preservation Project Resource Development Group for Wednesday, December 4, 2013.

Participants: Larry Krug, Tom Tate, Gary Deverman.

The meeting began at 9am. It wasc discussed and approved that 10am to noon would be a preferred time for future meetings.

Key discussion/actions:

1. Finalize the "Front Burner" Program funding needs. It was discussed and determined that the 4-H History Preservation Strategic Plan Priorities were still on target with 1) General (unrestricted), 2) 4-H History Outreach (Hands On, FilmFest, National 4-H Day, 4-H Stories, exhibits, etc.), 3) Voices of 4-H History, 4) Conversion Project - material on website, and 5) National 4-H Poster and Calendar Program.

2. Identify the "Low hanging fruit" prospects by source. Key prospect sources were discussed: Corporations, Individuals/Alumni, Foundations and Government Grants. It was determined that the current list of "Top of Mind" prospects was a good start.

3. Determine the fundraising strategy advised by the piece GD prepared for tlhe November meeting. The Group reviewed the Resource Development Strategic Plan Gary presentd at the November meeting. It was decided that this plan provided a good basis to approach the various prospects.

4. Link RD Group members and other volunteers to the stratgic and key prospects. A major portion of the meeting was spent in identifying potlntial links/volunteers to reach key groups and other prospects as well as strategies for creating revenue and visibility.

5. Outline the proposal/RD material development process and deadline for outreach. Materials needed for resource development outreach were discussed and identified. Several of the templates have been created and other pieces will be developed as the RD Group reaches out to them - Mell Meredith letter, etc.

6. Define the Action Steps and Timeline for 2014. This was discussed briefly then deferred to the next meeting.

7. Date of the next meeting - Thursday, January 9, 2014 at the Starbucks on Connecticut Ave. by Columbia Country Club, Chevy Chase.

8. OTHER - The meeting adjourned a 11:45am.

Larry Krug reported on contributions and pledges made to the National 4-H History Preservation project during recent months.

Gary Deverman, as chairman of this team, will take over the analysis and reporting of the monthly financial reports. There was some confusion between pledges and revenue. Gary will draft suggestions of what the tam would prefer on the reporting form. There are still a few discrepancies in the report, and these need to be corrected. Also, need to show National 4-H Council as a donor.

Anticipated expenses included a shipment of printed materials to Merritt for digitization, digitization of A/V materials in Richmond, creation of a portable display to promote Voices of 4-H History and the refurbishment of several pieces of calendar and poster art.

Gary plans to send an email to selected Newsletter list to solicit funs. Sue will alert the State Foundation directors of the forthcoming solicitation letter.

On May 23, 2013 Gary Deverman and Larry Krug met at the National 4-H Center to discuss 4-H History Preservation fund raising. We met with Betsy Johnson, 4-H Council staff, to discuss funding reports. There had been some confusion in the 4-H History leadership team interpreting actual gifts vs. pledges. It was determined that in the future Betsy would provide two reports - a pledges activity report and a pure cash report.

We also discussed the Resource Development Strategy that Gary had prepared and the National 4-H Donor Support history section for the website which Larry had developed.

A 4-H History Preservation Donor Pledge Sheet was shared with the history leadership team during the April monthly leadership meeting. The group also discussed sending out a donor solicitation letter to selected recipients of the history newsletter.

The chair of the National 4-H History Funding Development Team reported to the 4-H History Preservation leadership team at the February meeting his plan for resource development.

RESOURCE DEVELOPMENT STRATEGY
GOAL: To raise $150,000 from a combination of corporations, foundations and individuals plus current and former 4-h staff.

I - CORPORATIONS

Fifteen (15) gifts of $10,000 from current and former 4-H sponsors.

II - FOUNDATIONS

Fifty (50) foundation gifts of $1,000 to $10,000 from former donor/sponsors.
Includes corporate foundations, state 4-H foundations and community foundations.

III - INDIVIDUALS

Three-hundred (300) gifts from $400 to $10,000 averaging $500 from supporters, former 4-H'ers, Hall of Fame winners, National Award winners and 4-H Extension staff.

Includes former 4-H'ers and 4-H/Extension staff, donor reps and board members, VIPs with 4-H backgrounds.

Legacy Gifts: Given to remember those who gave so much to advance 4-H… ($400 to $4,000).

Honor Gifts: Contributed to honor a living individual for their work or an occasion (X Anniversary of attending National 4-H Congress, meetin your spouse at 4-H, etc.)… ($100 to $1,000).

Gary Deverman, chair, National 4-H History Funding team, shared with the leadership team at the January meeting his efforts in developing a 2-pronged approach for solicitation of both corporate/foundation gifts and individual gifts, asking for both pledges and annual gifts. These efforts will start immediately.

A draft paper listing National 4-H History Preservation Program Fund Raising Priorities was distributed to the leadership team.

The funding list follows:

1 - Official 4-H History Book
Research, write and publish an Official 4-H History Book covering the yars 1980-2010 to augment the two previous histories authored by Franklin M. Reck (1951) and Thomas and Marilyn Wessel (1982).

2 - Voices of 4-H History
Support for Voices of 4-H History, the oral history project of the National 4-H History Preservation Program being conducted in conjunction with the 2014 centennial celebration of the Smith-Lever Act creating the Cooperative Extension Service. To include creation, planning and implementation of the project in assisting 4-H youth in producing audio and video oral histories - first with pilot states, and then nationwide. To include state grants and Internet display of selected results through the 4-H history website. Also, to produce oral histories at the national level for the Voices of 4-H History Archives with selected individuals recognized as having had key roles in various national 4-H programs, services or events.

3 - 4-H Video Vignettes
A project directed towards the 4-H teen youth audience to plan and create descriptive short presentations (5 minutes or less) telling a 4-H history story, possibly in conjunction with one of the several 4-H film festivals, with selected entries being placed in the 4-H History A/V Archives on the 4-H History Preservation website. To assure presentations are nationally relevant, topics are to be selected from a subject listing prepared by the National 4-H History Preservation leadership team. Proposals to be submitted for acceptance. Production grants and/or cash prizes for winning entries to be considered.

4 - Research and Writing
Research and writing sections for National 4-H History area of 4-H history preservation website and preparing copy/layout for website. Nearly 100 sections have currently been identified. Http://4-HHistoryPreservation.com/History_National.asp Most of the research and writing is done by 4-H History Preservation volunteers however preparing copy for website is contracted on a section by section basis.

5 - 4-H History Digitization
Locating and digitizing relevant books and other printed materials for the Books and Printed Materials Reference Archives on the 4-H History Preservation website; and, locating and digitizing relevant films and other audio/visual materials for the Audio/Visual Directory on the history website. One of the objectives of the National 4-H History Preservation ladership team is to make materials of this nature readily accessible to the general public through our website, rather than simply having the items cataloged and shelved in a repository which may often be unaccessible to the majority of potential users… hence, bringing the accessibility of 4-H history into the 21st Century.

6 - National Digital Still Photo Archive
Create a national archive of 4-H historical still photographs for placement on the 4-H history preservation website. Criteria for selection of the photos to be acceptible include: high quality, captioned and either historically significant or relevant based on subject content. With emphasis on national photos, the archive will include photos from the earliest days of 4-H up to the present covering national (or nationwide) programs, services, events and leadership.

7 - History on the Impact of 4-H
A National 4-H History Preservation Program project on researching and documenting the history of the impact of the 4-H movement from 1900 to the present. Results will be placed on the 4-H history website, used in power point presentations, and perhaps be issued as hard copy, plus other various distribution opportunities.

8 - 4-H History Art Restoration
Restoration is needed on a number of pieces of major 4-H historic art including the annual art produced for the National 4-H Poster Program and the National 4-H Calendar Program, plus miscellaneous artwork, sculpture and other artifacts. The National 4-H History Preservation leadership tam will also develop a long range plan for proper storage and/or display of all restored pieces as well as an insurance/liability program.

The 4-H History Funding team met. The team identified existing needs totaling $150,000. These needs are all itemized in the history contributions database. Leadership team members were urged to designate people to honor so people can contribute in memory or in honor of someone. (Several were added since this meeting.)

Funding team members discussed requesting personal 4-H histories of key individuals, particularly in helping with the writing and/or review of the many history segments currently underway, and then moving them to financial support. The chairman will give attention to establishing an endowment fund for 4-H history preservation, including identifying key states which might respond positively to history contributions.

Eleanor Wilson is coordinating the area of writing thank you notes to all contributors.

An aggressive listing of funding needs and amounts has been developed. A funding program for the history website has been developed and shared with the RD staff at National 4-H Council to insure the accuracy of process. A letter was drafted by the team and sent to State 4-H Foundation directors by Council advising them of the history funding project. The funding area on the website was finalized in December 2011 and the first solicitation letter sent out to perspective donors later that month.

A one-page flier, "Preserving 4-H History… the foundation of our future. We Need Your Help" was developed for use with exhibits and groups and is also available on the history website to read or to copy.

Additional solicitations will be sought through the website, in each monthly history newsletter and through a planned solicitation program of this team.
